What is the recommended workflow for updating a released image within the Draft Space?

As far as I can tell, it is impossible to update a graphic with a status of released from within the Draft Space. This seems odd.

If the user tries to use the "Update Image" feature, they are stopped by the status of the image.

If they use the Organize Space to find and version the image, and then update it, they can't see it in the Draft Space because it requires someone to edit the Publication's baseline.

What is the recommended workflow according to RWS?

We have three very large nonprod repositories (over 3TB). Dev and Test, especially, do not need to be as large as they are. I understand shrinking the size is difficult because of referenced objects, released objects, etc. Looking at it from a different angle, I'm wondering if we can somehow export the structure and metadata but without the data and then import publications and objects to build a new small database.

I'm interested in this subject for production environments, too. Maintaining the repository for active content and having a method for removing inactive content has been a longstanding need for us, especially since Tridion Docs is not our legal repository for records retention. Keeping it lean has a lot of benefits, but historically, I don't think it's an area that has been taken up from a support or strategy standpoint.

Or looking at it from yet another angle, can anyone say what is likely to take up space in a Tridion Docs DB? We've scanned and retrieved sizes of all outputs and all content objects - modules, libraries, images, maps, other - and it amounts to only a fraction of the total used. What else might be using this space?

Hi Eva Nauerth ,

As an alternative option with minimal customization, you can use the FISHEVENTID field on the Publication language level and search for it.

For this, you need to extend the Search form for Publications with an extra Event ID field.

To do this, you need to adjust your MetadataConfig.xml, which is usually located in \%Installation_Location%\Web_DeploymentName\Author\ASP\ClientConfig

Find <ishfrm id="Trisoft.InfoShare.Forms.Searcher.SearchPublicationControl"> and add a new ishfrmfield

<ishfrmfield name="PublicationEventIdField" ishfieldref="FISHEVENTID" level="lng">
<label>Event ID</label>
<description>External publishing event identifier.</description>

You might need to restart your application.

As a result your can copy the Event ID from the list of Events and use it in a search form.

Is there an easy way to go from a publish event to the publication?

If I see a failed publish event in Tridion Docs 15.2.1, as a super user I want to go to the publication to check and correct the error.

I have to open the details of the "Started publish process" step to be able to copy the GUID of the publication, and then search for that in the Structured Content tab... Does anyone have any tips on how to get there faster?

Hi, I might be confused or there is a feature missing.

I have a branch 3.1.1 of a map, and the latest version is version 3. So I am wondering if the branch is created by mistake and what to check if it is actually used.

The "Where used" in Organize Space shows several maps (20 of those are translations plus some earlier versions), but no publication.

If I go to the "version view" in the Content tab of that object in an open publication where version 3 is used, and I use the Where used view on the branch, it only shows 2 maps (the same as in Organize Space, but thankfully without the translations).

In "Browse Repository/where used" I am not able to run the "where used" on the branch, as it is not offered in the context menu within the version selector, only in the repository where only the latest version is shown.

So can I be sure that the branch is not used in any publication? Because if it was part of any baseline, it would show a publication in the list in Organize Space? And it shows the maps because they contain that GUID in an href attribute of a topicref?
How can I run the Where used on a branch or older version in Browse repository?

I am building an application that calls the v3 REST API. I've been able to create content objects with POST v3/DocumentObjects (CreateDocumentObjectAsync). But I'm not able to specify my own GUID the way that the WCF services allowed (with psLogicalId). Tridion Docs creates the GUID for me. Is there a way with the REST API to specify a GUID to be used for content object creation?

Hi Eva Nauerth ,

To check where the branch of the map is used, you need to navigate to the Content view of the map, select the appropriate branch from the list and language, and then expand the Where used panel.
Please see the screenshots below.
In case there are no publication versions in the list, it means that this branch is not used in the baseline in any publication.

In case maps or topics are present there, it means that they are referencing this map.

The same approach can be used for older versions of the document objects, like maps, topics, and library topics.

I figured this out and my solution is working correctly now. I'm not sure how to delete my post, so I'll post the resolution instead. I was getting the 500 error because I had a BOM in my content stream. I removed that and then got some 400 errors because the way I was structuring the metadata was incorrect. I am migrating a content import application from Tridion Docs WCF/SOAP to OpenAPI. I’m having a problem trying to set taxonomy-related metadata values when creating a new object. (POST /v3/DocumentObjects).

WCF accepted taxonomy id values in XML metadata like the following:

I’ve tried a number of REST metadata structures to approximate the same functionality but get either a 400 error or 500 error depending on the json that I send. My latest json below returns a 500 error. What am I doing wrong?

It is possible to used filters in these functions to recived only the list of guid based on some filterFields?

Improvement of Search Functionality in Tridion Docs with Smart tagging

Currently, we are still refining and updating our taxonomy in poolparty. During this process, we frequently need to search for topics that are tagged with specific concepts in order to review, change, or add tags.

At the moment, it is possible to:

* Search for topics tagged with concepts within one top-level concept schema, for example “hydraulic tank” or “level indicator” (in Product)
* Search for topics tagged with concepts from different top-level concept schemas, for example “hydraulic tank” (in Product) and “check” (in Product Life Cycle)

However, we have identified several limitations:

1. **No logical AND within the same top-level concept schema**
When searching for topics tagged with concepts from the same top-level concept schema, the result is always based on a logical OR.

→ It would be very helpful to support a logical AND within the same top-level concept schema to improve search precision.

2. **No possibility to search for invalid or broken concepts**
During the creation and maintenance of the taxonomy in poolparty, some concept URIs may become invalid or get lost.

Currently:

* There is no way to search for invalid or broken concepts
* Such issues can only be found by chance

→ It would be very helpful to have a way to identify:

* Invalid concept references
* Missing or broken URIs

* Enable logical AND search within the same top-level concept schema
* Provide a function to identify invalid or broken concept references

These improvements would significantly increase efficiency and accuracy when maintaining taxonomy and tagging, and would reduce the risk of undetected tagging errors.

Is it possible to configure the filename structure of published outputs?

When I download published outputs (for example, PDF) from Publication Manager, the format is:

FTITLE=version=outputFormatName=language.extension

When I download published outputs from Organize Space, the format is:

FTITLE=GUID=version=outputFormatName=language.extension

What controls these filenaming conventions? Is it possible to configure them?

Thanks for the reply, Dave. This was a question from one of my clients. They were curious why the downloaded outputs from Publication Manager are named differently (i.e., don't include the GUID) compared to the same downloaded outputs from Orgaize Space (which do include the GUID). I'm not sure if or why that was important to them or if there is some downstream process perhaps that requires a certain naming convention. I will try to get more information from them.

Hi Mark,

Compared to content objects in Organize Space where the GUID is already part of the file name to achieve a round trip like conversion, localization, correction,... The file name can be parsed from right-to-left based on the equal sign (=) as the FTITLE is allowed to hold equal signs.

Publication Output also got the GUID in the file name in Organize Space to align with content object and achieve a round trip. As you know the GUID is key in correctly identifying an object.

To my knowledge it is not configurable. Can please add a reason to justify the introduction of a configuration complexity like this, and if possible add an example of other products that do it?

Thank you for the background Akheil... Be aware that you are introducing some kind of server-affinity that goes all the way to the user. It would not be my first choice, as there are ways to use a central caching system, or synchronization, or synchronization check (go copy from the other server just-in-time) without a user knowing. Giving the backend more control, when moving to different deployment structures (like more or less servers across dev-test-prod environments).

We do post processing on the publication output and have post publish processes setup. The requires us to know which batch server the publish was performed ( server 1 or server 2). We would like to specify the batch server a publication request goes to based on a metadata field value on the publication object, lets call it batch server with values 1 and 2. Is this possible?

Hi David,

We have three batch servers and perform post processing when a publication is released in Organize Space or Pub Manager. This custom release process, looks for the publication data/cache created when the publication was initially published and performs updates to the files which are then consumed by a downstream system we built internally. Having this post process creates a dependency that the cache/publication data needs to be synced between all batch severs, because if the publish was picked up by batch 1 and the release post process gets picked up by batch 2, it won't find the publication data folder and the process will fail. We discussed syncing the cache between batch servers, but that introduces latency and wait times for users to run the publish and post processes. Due to these reasons we are thinking of dividing the load between servers based on a metadata field, and this will ensure the publish and the post publish task will be picked up by the same batch server.

Hi Akheil,

I don't know if in today's world it is a good idea to distinguish between server1 or server2. That introduces a dependency that does not scale well, or which is a hotspot to not easily recover from when one of them fails. Furthermore it complicates your setup, it complicates any future upgrade. For that you need to share more why you are asking for this solution.

Still, it is possible. I would advise to check the various out-of-the-box PUBLISH events and how they are triggered in

\Websites\Author\EnterViaUI\Admin.XMLWriteObjPluginConfig.xml
Websites\Author\EnterViaUI\Admin.XMLBackgroundTaskConfiguration.xml

So how the message arrives on the queue is often decided by an IWrite plugin that passes an EventType. In turn BackgroundTask handles the EventTypes as assigned to its Service Role. That Service Role is specified in the commandline of the registered service.

Upon further investigation, we noticed "Event Type" in a event and in Background Task XML Settings, allows us to specify which service role can pick up the "publish" item. The service role is specified on the Background Task service running the batch server. So the question now becomes how can be manipulate "Event Type" of an event when we perform a publish of a publication.
