What is the recommended workflow for updating a released image within the Draft Space?

As far as I can tell, it is impossible to update a graphic with a status of released from within the Draft Space. This seems odd.

If the user tries to use the "Update Image" feature, they are stopped by the status of the image.

If they use the Organize Space to find and version the image, and then update it, they can't see it in the Draft Space because it requires someone to edit the Publication's baseline.

What is the recommended workflow according to RWS?

We have three very large nonprod repositories (over 3TB). Dev and Test, especially, do not need to be as large as they are. I understand shrinking the size is difficult because of referenced objects, released objects, etc. Looking at it from a different angle, I'm wondering if we can somehow export the structure and metadata but without the data and then import publications and objects to build a new small database.

How can I find out if and in which publication a branch is actually used?

Hi, I might be confused or there is a feature missing.

I have a branch 3.1.1 of a map, and the latest version is version 3. So I am wondering if the branch is created by mistake and what to check if it is actually used.

The "Where used" in Organize Space shows several maps (20 of those are translations plus some earlier versions), but no publication.

If I go to the "version view" in the Content tab of that object in an open publication where version 3 is used, and I use the Where used view on the branch, it only shows 2 maps (the same as in Organize Space, but thankfully without the translations).

In "Browse Repository/where used" I am not able to run the "where used" on the branch, as it is not offered in the context menu within the version selector, only in the repository where only the latest version is shown.

So can I be sure that the branch is not used in any publication? Because if it was part of any baseline, it would show a publication in the list in Organize Space? And it shows the maps because they contain that GUID in an href attribute of a topicref?
How can I run the Where used on a branch or older version in Browse repository?

How do I specify a GUID (logical ID) when creating a new object with POST v3/DocumentObjects

I am building an application that calls the v3 REST API. I've been able to create content objects with POST v3/DocumentObjects (CreateDocumentObjectAsync). But I'm not able to specify my own GUID the way that the WCF services allowed (with psLogicalId). Tridion Docs creates the GUID for me. Is there a way with the REST API to specify a GUID to be used for content object creation?

How to set taxonomy ID metadata values with OpenAPI?

I am migrating a content import application from Tridion Docs WCF/SOAP to OpenAPI. I’m having a problem trying to set taxonomy-related metadata values when creating a new object. (POST /v3/DocumentObjects).

WCF accepted taxonomy id values in XML metadata like the following:

I’ve tried a number of REST metadata structures to approximate the same functionality but get either a 400 error or 500 error depending on the json that I send. My latest json below returns a 500 error. What am I doing wrong?

Improvement of Search Functionality in Tridion Docs with Smart tagging

Currently, we are still refining and updating our taxonomy in poolparty. During this process, we frequently need to search for topics that are tagged with specific concepts in order to review, change, or add tags.

At the moment, it is possible to:

* Search for topics tagged with concepts within one top-level concept schema, for example “hydraulic tank” or “level indicator” (in Product)
* Search for topics tagged with concepts from different top-level concept schemas, for example “hydraulic tank” (in Product) and “check” (in Product Life Cycle)

However, we have identified several limitations:

1. **No logical AND within the same top-level concept schema**
When searching for topics tagged with concepts from the same top-level concept schema, the result is always based on a logical OR.

→ It would be very helpful to support a logical AND within the same top-level concept schema to improve search precision.

2. **No possibility to search for invalid or broken concepts**
During the creation and maintenance of the taxonomy in poolparty, some concept URIs may become invalid or get lost.

Currently:

* There is no way to search for invalid or broken concepts
* Such issues can only be found by chance

→ It would be very helpful to have a way to identify:

* Invalid concept references
* Missing or broken URIs

Is it possible to configure the filename structure of published outputs?

When I download published outputs (for example, PDF) from Publication Manager, the format is:

FTITLE=version=outputFormatName=language.extension

When I download published outputs from Organize Space, the format is:

FTITLE=GUID=version=outputFormatName=language.extension

What controls these filenaming conventions? Is it possible to configure them?

Two batch servers, we would like to control load balancing based on a metadata field.

We do post processing on the publication output and have post publish processes setup. The requires us to know which batch server the publish was performed ( server 1 or server 2). We would like to specify the batch server a publication request goes to based on a metadata field value on the publication object, lets call it batch server with values 1 and 2. Is this possible?

Inexplicable IPublishPostProcessPlugin error: "Cannot initialize plugin XXX."

Context
Tridion Docs 14 SP4.
IPublishPostProcessPlugin load failure.

Summary
A custom assembly that includes several IPublishPostProcessPlugin output plugins is not found by the Publish Postprocess Plugin engine.

Details
The assembly started as a .NET port of a prior scripting implementation. It was supplied back in 2023 by RWS Professional Services, when we upgraded to TD14.4.
It was deployed under C:\InfoShare\App\Plugins, as documented, to all 3 environments (DEV, QA and PROD) and has been running as designed since.
All 3 environments are logically and version-wise the same.

Recently, a change of behavior was required for one of the plugins. We - Edwards Lifesciences - requested the C# project code, added a new plugin implementation, modified the XML Publish Plug-In settings accordingly, followed the documented deployment procedure to update the assembly on DEV, and tested it there. All tests passed. From this we know that a) the assembly implements the required interface, b) the existing and new code works, c) the publish plugin configuration is correct, and d) the deployment procedure is effective.

The time has come to validate (software QA) the new version prior to deploying to PROD. Accordingly, the assembly was deployed, again as documented, to the QA environment (the instance we use for validation). A test was run. It failed.

The core of the error message is always:

Plug-in initialization failed. "Cannot initialize plugin XXX. The plugin implementation with handler YYY implementing IPublishPostProcessPlugin was not found.

The interesting parts of the above are:

XXX is not the new plugin: it existed in the initial implementation and remains unmodified by the recent change
by design, XXX is executed before ISHRUNDITAOT, excluding a problem with the DITA Open Toolkit

Many attempts have been made to address this: change the .NET build environment, restart services, reboot servers, remove dependencies on external components, build and deploy a separate assembly with just the new plugin, scrutinize logs... all to no avail. The same error message comes back, again and again.

Oddest but perhaps most interesting: after all these tries, restoring the original assembly - the 2023 dll that runs normally on the PROD enviroment to this day - also fails with the same error message. Exactly what you get if you remove the assembly altogether from C:\InfoShare\App\Plugins.

So as the stack trace says, the PublishPostProcessPluginEngine doesn't find the plugins. How can we get it to see and load them?

We have an open support case with RWS for this - among other things they recommended asking this Community. So here we are - any advice or hint is appreciated.

Is it possible to create a PDF showing redline changes?

Is there an easy way to go from a publish event to the publication?

If I see a failed publish event in Tridion Docs 15.2.1, as a super user I want to go to the publication to check and correct the error.

I have to open the details of the "Started publish process" step to be able to copy the GUID of the publication, and then search for that in the Structured Content tab... Does anyone have any tips on how to get there faster?

How to implement watermark in PDF/word outputs using FSTATUS = Draft

I have the following question related to watermark, basically want to implement watermark in PDF/Word for topics/maps in the publication where FSTATUS = Draft

FPUBWATERMARK in publish plugins
- How should this field be used?
- What parameters can be passed?
- Does it generate watermarks in the output?
Using metadata for watermarking (e.g., FSTATUS)
- How can metadata such as <ishfield name="FSTATUS" level="lng" /> be utilized?
- For example, if FSTATUS = Draft, how can a watermark be applied to the output (PDF/Word)?

Currently, TD metadata properties are not exposed in DITA-OT preprocessing temporary files, which makes this use case challenging. In this scenario, how can the plugin be customized to apply watermarks in PDF/Word outputs?

Any help would be appreciated.

Tridion Conditions in Fluid Topics

Hello everyone,

Has anyone successfully published content that includes multiple conditions (for example, customer X, customer Y, internal, external, series X, series Y, etc.) from Tridion to Fluid Topics and then had Fluid Topics segment or filter that information effectively?

In particular, I’m interested in learning:

Whether conditions were resolved in Tridion at publish time or passed through to Fluid Topics and managed on that side.
How conditional content was handled to avoid content duplication or condition explosion
How Tridion metadata and condition values were mapped to Fluid Topics facets, tags, or profiles
If a better long-term approach would be to scrap conditions and move to DITAVALS

If you use Tridion conditions and also publish content to Fluid Topics, I'd appreciate hearing how you do it, what works, what doesn't, and any best practices or resources that may help.

The previous certificate we purchased include both "Server Certificate" and "Server Application Process Certificate" by default.

The new certificate that we will purchase only includes the "Server Certificate". If the "Server Application Process Certificate" is also needed, we will have to purchase it separately.

Require Reports option to list Where Used at the folder level

It would be helpful to have a Reports option at the Graphics folder level to view Where Used details and determine whether files/objects are used. Currently, this information is available only at the individual file level, requiring manual checks for each file/object. A folder-level report would make it much easier to identify usage of Graphics folder files/objects, including whether they are used or not.

Due to procedural constraints, sometimes not all illustrations can be accommodated, and some files may remain unused. With a Reports option, it would be easy to identify whether a graphic file is used or not. This visibility would support better planning and coordination between writers and illustrators and help reduce unnecessary effort by avoiding the creation of unused files in an ongoing release or in the next project.

Capability to log ClientConifig access for troubleshooting and audit

I think logging capability is very essential for all network access, and that should be the same with ClientConfig files sync'ed by Publication Manager and Authoring Bridge. However, according to both clients (i.e. Publication Manager and Authoring Bridge) and Tridion Docs servers don't have capability to extend logging level for ClientConfig sync. Is that true?

That is actually a problem when I troubleshoot ClientConfig sync issue with RWS Support. RWS hosts six production servers for us, and those are workload balanced. With that condition, unnecessary ClientConfig file sync happens when the timestamp would mismatch than previous file sync. Even worse, each of users seem to be experiencing the unnecessary file sync issue differently, possibly due to workload balancer. So, even though redeployment of ClientConfig files by RWS Support improved the consistency across six production servers for some users, I am hearing from some other users, hey, still experiencing that issue. Although RWS Support have ever tried to make the folder content consistent again and again, that won't be suppressed fully. We can't identify which production server the issue is remaining.

I don't know what the challenge is with RWS to implement that logging capability. But, if that logging capability wasn't possible for RWS, can RWS take different approach to identify required ClientConfig file sync?

Content Importer general access for authors

Our team is responsible for our company's Tridion Docs instance (v15.2). We've been using TD for 10 years. We find that Content Importer works great for translated content. However, it is more error-prone for English content. In fact, when we outsource conversion to DITA, the vendor always chooses to avoid Content Importer, instead opting for their custom methods instead. Aside from migrations, English imports are rarely requested by our authors. When they are needed, our support team does them for the authors who request them. However, the use cases are growing and there is more of a demand for English content imports.

Do you generally allow access to Content Importer for your authors?
If so, what risks has that presented?
What are your general best practices for authors using Content Importer?
Or do you generally limit it only to support roles?

Setting multiple values for a metadata field using DocumentObj25.Create shows invalid entries

Some weird behavior here that is vexing me...

I making a web API call -- DocumentObj25.Create -- to create a topic in a Tridion Docs 14 environment.

For one of the metadata fields I am setting, there are multiple taxonomy values.

When I look at the created object in Publication Manager, two of the three values are listed as invalid.

I performed the same operation manually in Publication Manager and looked at the log to see how Publication Manager was passing the metadata via the same API call. The metadata structure looks exactly like the one I am passing with my API call, but the result is correct. The values are not listed as invalid.

Here is what my metadata looks like:

FCUSTOMFIELD2 is not set correctly. One value is set, but the other two are marked as invalid.

When I look at the logs in Publication Manager, when I create an object manually, I see the same exact metdata structure for FCUSTOMFIELD2 as what my API call is passing. But Publication Manager sets it correctly, and my API call does not.

Also note that if I limit the FCUSTOMFIELD2 to one value in my API call, it works without a problem.

Release notice for TD15.2.1

This is a question regarding the release of Tridion Docs 15.2.1. Version 15.2.1 was released at the beginning of February, and the installer was made available on the FTP site. After downloading the installer and checking its contents, I confirmed that it included a ReadMe.md describing the update procedure. However, I could not find the complete release notes for 15.2.1. Are release notes not provided for update releases?

I would like to know the following points:

The defects that were fixed by the update
Client program compatibility (if the update is applied to the server, is it mandatory to update the client programs as well?)

I would greatly appreciate it if you could publish the release notes for version 15.2.1.

Unrelease a publication output via UI (Organize Space and/or Publication Manager)

We have a few post publish plugins that we run when a user marks a publication output as release. Once a publication output is released it can no longer be published. We have had instances where the publish process fails and now we have to version up the publication and release it again. We would like to take advantage of the "unrelease" user privilege, and have been successful unreleasing a publication via API. We are wondering if there is a way anyone has implemented to allow a user with this privilege to trigger the unrelease through Publication Manager or Organize Space. We are on Tridion Docs 15.2 Patch 1, TIA.

Does any one have problems with Oxygen crashes when you check out objects from Browse Repository with the previewer open?

I’m experiencing a recurring and very disruptive issue in Oxygen. Whenever I check out an object from Browse Repository while the previewer is open, Oxygen very often crashes. This happens consistently enough that it’s affecting my workflow.

Even more frustrating, after a crash and restart, Oxygen sometimes freezes immediately on launch, forcing me to restart the entire computer before I can continue working.

This behaviour makes routine tasks unreliable and time‑consuming.

Anyone else have the same issue? Solutions?

I use Tridion Docs 15.1 and Oxygen 25.1

Deleting released objects

I know that the whole purpose of releasing objects in the database is to keep them safe and prevent changes. However, we have an issue that requires deleting released publications and maps from the database.

Can anyone please provide a method to do this?

I have administrative rights, but in this case that is not enough - or so it seems.

We are presently on Tridion Docs 15.1.6

Is there any plan to connect Oxygen Author to Tridion Docs through MCP server?
